Depending on how you contact us and the services you use, we may collect information including:

  • Your name
  • Postal address
  • Telephone and mobile numbers
  • Email address
  • Details of your computer, laptop or other equipment
  • Details of the fault or service you require
  • Messages sent by email, SMS, RCS, WhatsApp, website forms or other communication methods

Information contained on customer devices

When diagnosing, repairing, upgrading or recovering data from a computer or other storage device, it may sometimes be necessary to access files, folders, user profiles or other data stored on that device.

We only access customer data where reasonably necessary to diagnose or complete the work you have asked us to carry out.

We do not intentionally inspect personal files that are unrelated to the repair or service.

Customers should ensure that important data is backed up wherever reasonably possible before repair work begins. Where data recovery itself is the service being provided, this will not normally be possible.

How we use your information

We may use your personal information to:

  • Respond to enquiries
  • Provide quotations
  • Arrange collection and return of equipment
  • Diagnose faults and carry out repairs or IT services
  • Contact you with repair progress and service updates
  • Request approval before chargeable work is carried out
  • Arrange payment and issue invoices or receipts
  • Provide aftercare and warranty support
  • Maintain business and accounting records
  • Prevent fraud, misuse or security incidents
  • Improve our website and services
  • Send service-related communications
  • Send occasional marketing communications where permitted by law

Our lawful bases for processing

Under UK data protection law, we must have a lawful basis for using personal information.

Depending on the circumstances, we may rely on:

  • Contract – where information is required to provide a repair, IT service, quotation, collection or other service you have requested.
  • Legitimate interests – where it is reasonably necessary to operate and protect our business, communicate with customers, maintain repair records, improve services or prevent fraud.
  • Legal obligation – where we are required to keep information for tax, accounting or other legal purposes.
  • Consent – where you have specifically agreed to a particular use of your information and consent is the appropriate legal basis.

SMS, RCS and other messaging

We may contact customers using SMS, RCS, telephone, email, WhatsApp or similar services in connection with enquiries, quotations, collection arrangements, repair updates, completion notices and other customer-service communications.

We currently use third-party communications providers, including ClickSend, to deliver some SMS and RCS messages.

Where a third-party service processes personal information on our behalf, we expect that provider to handle the information in accordance with applicable data protection requirements.

Who we may share information with

We do not sell personal information.

We may share limited information with third parties where reasonably necessary to provide our services or operate the business, including:

  • Messaging and communications providers
  • Email and website hosting providers
  • Payment and banking providers
  • Accounting or bookkeeping services
  • Parts suppliers or manufacturers where required for a repair or warranty claim
  • Specialist repair or data-recovery partners where work needs to be referred to a specialist
  • Professional advisers
  • Law enforcement, regulators or other authorities where legally required

Where specialist work is subcontracted, only information reasonably necessary to complete that work will be provided.

International data transfers

Some of the technology and communications services we use may store or process information outside the United Kingdom.

Where personal information is transferred internationally, we rely on the safeguards provided by the relevant service provider and applicable UK data protection law.

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing support, dealing with warranty queries, maintaining business records and meeting legal or accounting obligations.

Repair and customer-service records may be retained where they are useful for future support or warranty history.

Accounting and transaction records are retained for the periods required by UK tax and accounting law.

Information that is no longer required will be deleted, anonymised or securely disposed of where appropriate.

Data recovered or copied during repairs

Where customer data is temporarily copied for repair, migration, backup or recovery purposes, it will be retained only for as long as reasonably necessary to complete the agreed work and any immediate verification period.

Temporary copies may then be securely deleted unless another arrangement has been agreed with the customer.

Security

We take reasonable technical and organisational measures to protect personal information and customer data against loss, unauthorised access, misuse or disclosure.

No computer system or transmission method can be guaranteed to be completely secure, but we take reasonable precautions appropriate to the nature of the information we handle.

Cookies and website analytics

Our website may use cookies or similar technologies required for the website to operate or to help us understand how visitors use the site.

Where non-essential cookies or analytics require consent, they should only be used in accordance with applicable privacy and electronic communications law.

Your data protection rights

Depending on the circumstances, you may have rights including the right to:

  • Ask for a copy of personal information we hold about you
  • Ask us to correct inaccurate or incomplete information
  • Ask us to delete personal information in certain circumstances
  • Ask us to restrict how information is used in certain circumstances
  • Object to certain types of processing
  • Request transfer of information where the right to data portability applies
  • Withdraw consent where processing is based on consent

You have the right to object to processing based on legitimate interests and to object to the use of your personal information for direct marketing.

To exercise any of these rights, please contact us using the details above.

Marketing communications

We may occasionally contact existing customers about relevant Dreambytes services where permitted by law.

You can ask us to stop sending marketing communications at any time by replying to the message or contacting us directly.

Service messages relating to an active repair, quotation, collection or customer enquiry are not marketing communications.

Children

Our services are not specifically directed at children. Where a device belongs to a child, we would normally expect the repair or service to be arranged by a parent, guardian or other responsible adult.

Complaints

If you have a concern about how we have handled your personal information, please contact us first and we will try to resolve it.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator.
